We have three large 12 passenger vans and one 7 passenger van available to rent. All other rental requests will need to go through the Concur online travel system.

Assistance, questions or training for the Concur system are available through the Office of Strategic Procurement. 

To Reserve a Vehicle:

  • Complete the Motor Pool Request form to make sure that a vehicle is available for you.
  • Any University employee or student wishing to operate a vehicle owned, leased, rented, or borrowed on behalf of the University must first be approved as a University Driver. Individuals wishing to be authorized as University Drivers should complete the University Driver Authorization Form and submit via email to sandra.mcdougal@maine.edu for verification.
  • Any individual driving University vehicles or vehicles on behalf of the University, including their own vehicle, must be familiar with and adhere to all guidelines outlined in the Motor Vehicle Administration APL. The Motor Vehicle Administration and Guidelines APL can be found HERE
  • No one under 18 is permitted to drive a University or leased vehicle.
  • No one under 21 is permitted to drive a vehicle that is transporting more than 5 passengers.
  • All campus employees and students must have their driver’s license checked with the Maine State Motor Vehicle Records.
  • Everyone will be required to complete a written training and road test with our Facilities Dept. prior to departure. Please allow time for these items before your trip.

Van Rental Rates:

  • $50.00/day + $.30 cents/mile for 12 Passenger Vans
  • $50.00/day + $.25 cents/mile for the 7 Passenger Vehicle

Cost is inclusive of gasoline.

Vans must be filled before returning – if a van is returned with less than 3/4 of a tank, a $50 fee will be charged.

**Any user that wishes to use a van will need to participate in a Van Safety training that is coordinated through the Facilities office. 

Please Note: Facilities Management does not provide EZ Passes. Toll reimbursement should be processed through the Concur Travel reimbursement system.

Due to the high demand for motor pool vehicles there will be a charge of $10 per vehicle per day for reservations that are not canceled AT LEAST 24 working hours prior to the start of the reservation.
